Oakland Office Experience Team, providing administrative support to teams of industry-leading designers and architects. You're at the heart of your studio’s activities and a force that supports your studio to feel engaged and connected. Studio Coordinators act as an ambassador for their studio and a liaison between their directors/principals and many others. The Studio Coordinators exist as part of a larger team across the office, working in alignment to support the office needs at large – while also focusing on your specific studio assignments.
What You Will Do
- Support Studio Directors and Principals with all administrative needs, including scheduling of meetings, travel arrangements, expense reports, correspondence, etc.
- Assist Studio Director with operational aspects of running the studio including, but not limited to, organizing studio meetings, staffing, financial tracking, timecard collection, PTO tracking and presentation preparation
- Support the Office Experience Team with office wide initiatives, events, organization, culture, processes, and systems
- Engaging in office culture, planning studio retreats, outings, and celebrations
- Use your graphic design skillset to create presentations
- Maintaining clean, organized studio spaces. Physically and digitally
- Managing daily communications with internal and external parties
- Serve as back-up for reception, occasionally, and other support/stand in for other Studio Coordinators
Your Qualifications
- 5+ years of experience in an administrative capacity
- High School diploma or equivalent required; Associates or Bachelors degree preferred
- Microsoft Office experience a must
- You are well organized, thoughtful, detailed, and service oriented. In addition, candidates should be able to take ownership of tasks and exhibit a high level of initiative and follow-through in a dynamic environment
- Graphic design knowledge is helpful. Adobe Suite/InDesign experience a plus
- You love helping people, with a hospitality mindset
- Experience managing multiple calendars in Outlook
- Proficient in booking complex travel
- Comfortable helping with expense reports
- Must be able to prioritize tasks effectively and have established success working on multiple tasks/projects as the same time
- Strong people skills. Excellent communication and relationship management
- Ability to interact professionally with all levels of the firm, clients, and subcontractors
- Must be able to work overtime on an as-needed basis
- The base salary will be estimated between $32.50 - $37.50 per hour (approx. $67,600 - $78,000 per year) plus bonuses and benefits, and contingent on relevant experience.
