Your Role
Gensler’s Austin office is seeking a Senior Administrative Assistant. This position will support Executives, Principals, Studio Leaders, and all members of the team as required.
What You Will Do
- Support executives with day-to-day administrative tasks, including calendar management, expenses, p-card reconciliation, email correspondence, and documentation.
- Coordinate and manage the daily schedule, meetings, and travel logistics for executives, ensuring efficient use of time.
- Collaborate with executives on initiatives, creating high-quality presentations and proposals, and producing relevant materials.
- Develop and coordinate reports, agendas, minutes, and other necessary documents independently.
- Provide meeting support, including booking and preparing rooms, setting up video conferences, and following up on action items.
- Handle sensitive and confidential information with discretion.
- Assist with committee responsibilities and special projects as required.
- Type and file project correspondence, maintain calendars for studio leaders, and manage project files.
- Organize client events and provide backup support for other administrative staff as needed.
- Provide oversight and guidance to office Studio Coordinators assisting with coaching, fielding questions and training
- Conduct weekly check-in meetings with office Studio Coordinators
- Experience coordinating hybrid meetings and strong organizational skills.
- Ability to work collaboratively within a team and support various administrative functions as required.
Your Qualifications
- 5+ years of experience in an administrative support role in a A/E/C firm required.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Adobe Creative Suite (especially InDesign).
- Strong attention to detail with the ability to prioritize and multi-task effectively.
- Excellent verbal and written communication skills, with a strong customer service orientation.
- Ability to exercise good judgment, show initiative, and work independently with minimal guidance.
- Must be a motivated self-starter with a positive attitude and a willingness to go the extra mile.
- Typing speed of at least 65 wpm is preferred.
- Availability for occasional overtime as needed.
