Overview
Empire Office is currently seeking a detail-oriented and self-motivated
RFP Coordinator in our New York, NY, Secaucus, NJ, Atlanta, GA, or Florida officesto join our growing team. The RFP coordinator plays a vital role in assisting with supporting the management of the RFP process in conjunction with the Creative Ancillary Specialist team to create unique and innovative RFP responses and packages for the Empire team and our respective clients.
Key Responsibilities
The RFP Coordinator role will manage Clients, Vendors, Sales, and Internal Departments
Key responsibilities include:
- Work with our internal sales teams, clients, and vendors to ensure successful RFP submittal.
- Review each Request For Proposal (RFP) to determine all deliverables required, and the internal departments/people responsible for providing answers.
- Request and review/verify the accuracy of all vendor inquiries, pricing, specifications, etc.
- Manage ancillary accessories pricing proposals specified by Architect and/or Creative Studio (when applicable).
- Create and manage applicable RFP project documents that are specific to each independent project. ie Pricing documents, lead time sheets, etc. And maintain these documents throughout the proposal process, until specification is finalized for order placement.
- Be able to identify and expedite critical or escalated requests with professionalism and a sense of urgency.
- Maintain electronic files in appropriate team drives/project files or Procore where applicable.
- Review and color code floorplans related to RFP to ensure all product is captured and specifications accurately relate to the floorplan layout.
- Review all client RFP-provided documents and identify with your greater RFP specialist team, the relevant information and deliverables required that will assist in providing an in-depth and astute response.
- Collaborate and review with the operations team to determine the most efficient and effective method to provide the best price for services that align with project schedules and logistical needs.
- Other duties as assigned.
Qualifications
Skills & Qualifications
- Bachelor’s or Associates degree preferred
- High School diploma or equivalent with a minimum of 2-4 years of progressive experience
- Strong Excel proficiencies needed
- Proficient in navigating and working within Excel documents
- Basic mathematical formulas within Excel, ie. Sums, Subtotals, Discounting, Percentages, Multiplication/Divisions, Margins, Tax
- Use of filters
- Organizing a spreadsheet for proper review presentation and printing
- Embedding images
- Microsoft Office, Outlook, PowerPoint, Teams, PDF proficient
- Customer Service experience preferred
- Data Entry experience required
- Contract Furniture experience a plus; Hedberg and Procore experience a plus
- Experience in pricing, discounts, and terminology is a plus
- Preferred skill sets: quick thinking, problem-solving, highly organized
- Attention to detail, proofreading skills
- Excellent writing and communication skills (Intuitive)
- Ability to multitask and manage multiple projects with deadlines simultaneously
